Job Description

1) Management of the Managing Director’s diary and appointments

2) Help Managing Director manage output, workflow and office deadlines

3) Take and relay accurate and timely messages from telephone callers, and answer queries where possible

4) Take minutes for all meetings

5) Draft, type and dispatch all the Managing Director’s correspondence

6) Liaise with relevant individuals, external organizations etc. to arrange meetings, prepare agendas and draft minutes

7) Maintain a comprehensive filing system

8) Co-ordinate Managing Director’s travel in and out of country

9) Book air tickets and ensure hotel reservations

10) Tabulate and retrieve Managing Director’s official expenditures and claims

11) Undertake any other duties as requested by the Managing Director

12) Maintaining personnel files (both electronic and hard copy) –

13) Filing necessary documents

14) Providing necessary information to finance and other colleagues

15) Providing information needed by colleagues in their own files

16) Any other task that may be assigned by the managementSkills
